Sideline Society, LLC ("Sideline Society," "we," "us," or "our") is a youth sports sideline equipment rental company based in Northern Virginia. This Privacy Policy describes how we collect, use, and protect the personal information you share with us through our website at sidelinesociety.org and in connection with our services.

When You Make a Reservation
To process your booking, we collect your name, email address, and payment information. We also collect event-specific details you provide — including tournament name, field location, and game schedule — so we can set up your gear in the right place at the right time.
When You Submit a Partnership Inquiry
If you reach out through our Partnership page, we collect your name, email address, organization name, and any other information you choose to include in your message.
When You Subscribe to Our Newsletter
If you sign up for email updates through our website, we collect your email address. That's it.
Automatically — When You Visit Our Site
We use Google Analytics 4 (GA4) to understand how visitors use our site. This may include your approximate location, device type, browser, pages visited, and time spent on the site. This data is aggregated and anonymized — it is not linked to your personal identity.
How We Use Your Information
We use the information we collect to:
- Process and confirm your equipment reservation
- Deliver and set up your gear at the correct field location and time
- Send booking confirmations, reminders, and event-day logistics
- Respond to partnership inquiries and customer service requests
- Send periodic email updates about new tournaments, gear, and promotions (only if you subscribed)
- Improve our website and understand how customers find and use it
We do not use your information for automated decision-making or profiling.
Payment Processing
All payments are processed securely through Square. Sideline Society does not store, see, or have access to your full credit card number. Payment data is transmitted directly to Square and governed by Square's Privacy Policy.
How We Share Your Information
We do not sell, rent, or trade your personal information to any third party.
We share information only in the following limited circumstances:
- Square — to process payments for reservations
- Email service providers — to deliver newsletters and booking confirmations to subscribers
- Google Analytics — anonymized, aggregated site usage data only
- Legal requirements — if required by law, court order, or to protect the rights, property, or safety of Sideline Society or others
Data Retention
We retain reservation and booking records for a minimum of three years for business and accounting purposes. Email newsletter subscribers are retained until they unsubscribe. You may request deletion of your personal data at any time by contacting us at info@sidelinesociety.org.
Your Choices
Email Newsletter
You can unsubscribe from our email list at any time by clicking the unsubscribe link in any email we send, or by emailing us at info@sidelinesociety.org. We will remove you promptly.
Requesting Your Data
You may request a copy of the personal information we hold about you, ask us to correct inaccurate information, or request that we delete your data. To do so, email info@sidelinesociety.org with the subject line "Privacy Request."
Analytics
You can opt out of Google Analytics tracking by using the Google Analytics Opt-out Browser Add-on.
Security
We take reasonable measures to protect your personal information from unauthorized access, loss, misuse, or alteration. Payment transactions are encrypted and processed by Square. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.
Children's Privacy
Our website and services are intended for adults (parents and guardians of youth athletes). We do not knowingly collect personal information from anyone under the age of 13. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. We encourage you to review this page periodically. Continued use of our site after changes are posted constitutes your acceptance of the updated policy.
