Please read these Terms and Conditions carefully before completing your reservation. By checking the agreement box at checkout, you confirm that you have read, understood, and agree to be bound by these terms on behalf of yourself and all members of your party.

Section 01

Acceptance of Terms

By reserving, renting, or using any equipment or services provided by Sideline Society, LLC ("Sideline Society," "we," "us," or "our"), you ("Customer") agree to be bound by these Terms and Conditions. If you do not agree to these terms, do not proceed with your reservation.

Your affirmative acknowledgment at checkout constitutes a legally binding agreement between you and Sideline Society, LLC.

Section 02

Services

Sideline Society provides tournament-day sideline equipment rentals — including but not limited to canopy tents, folding chairs, coolers, wagons, and related accessories — delivered and set up at participating youth sports tournaments in Northern Virginia.

Specific equipment is subject to availability and confirmed at the time of booking. Sideline Society reserves the right to substitute comparable equipment of equal or greater value when necessary.

Section 03

Reservations & Payment

All reservations must be made in advance through our official booking platform. Full payment is required at the time of reservation. A reservation is not confirmed until payment is successfully received and a confirmation is issued by Sideline Society.

Pricing is as listed at the time of booking and is subject to change for future events. Confirmed bookings will not be affected by subsequent price changes.

Section 04

Damage & Equipment Condition

Sideline Society absorbs the cost of normal wear and tear — small stains, dirt, scuffs, faded fabric, and minor cosmetic imperfections are part of the rental business and never result in a charge. If equipment is damaged beyond normal use, the Customer is charged the actual repair or replacement cost paid by Sideline Society, plus the applicable incident fee below:

  • Minor repair (small tears, hardware adjustments): repair cost only — no incident fee.
  • Small item replacement (chair, table, accessory): $25.00 incident fee.
  • Major item replacement (tent, bench, wagon, cooler): $50.00 incident fee.
  • Reckless or intentional misuse: an additional $50.00 fee added to any of the above.

Example 1: A chair is damaged beyond repair and must be replaced. The Customer pays the actual replacement cost ($30.00) plus the $25.00 small-item incident fee — a total of $55.00.

Example 2: A tent is damaged beyond repair and must be replaced. The Customer pays the actual replacement cost ($150.00) plus the $50.00 major-item incident fee — a total of $200.00.

4a. Post-Event Inspection

All equipment is photographed at the time of delivery. Equipment is inspected within 48 hours of pickup, and the Customer will be notified by email within that window if any damage charges apply. All damage notifications include an itemized cost breakdown and photo documentation. Customers have 7 days from notification to dispute charges in writing to info@sidelinesociety.org. Damage charges not disputed within this window are considered final.

4b. What Constitutes Damage

Damage includes but is not limited to: tears, breaks, structural damage, permanent staining, missing components, or any condition that renders equipment unusable or unsuitable for future rentals. Normal wear and tear is excluded at Sideline Society's sole discretion.

Section 05

Customer Responsibilities

By completing a reservation, the Customer agrees to:

  • Treat all rental equipment with reasonable care throughout the event
  • Report any damage or loss to a Sideline Society representative before leaving the event
  • Ensure that equipment is not moved from the designated setup area without prior written authorization from Sideline Society
  • Use all equipment solely for its intended purpose
  • Supervise all members of their party, including children, in the use of rental equipment

The Customer is liable for any damage caused by themselves, members of their party, or guests associated with their booking.

Section 06

Cancellations & Refunds

  • 7 or more days before the event: Full refund issued to the original payment method.
  • 3–6 days before the event: 50% refund, or full credit applied toward a future booking at the Customer's election.
  • Less than 72 hours before the event: Non-refundable. No credit issued.
  • Tournament cancellation or postponement: If a tournament is cancelled or postponed by the event organizer, Sideline Society will offer a full credit toward a future booking. Cash refunds in this case are at Sideline Society's sole discretion.
Section 07

Limitation of Liability

Sideline Society is not responsible for any personal injury, loss, theft, or property damage arising from the use of rental equipment by the Customer or any member of their party. Customers assume all risk associated with the use of equipment provided.

Sideline Society's total liability to any Customer for any claim arising out of a booking shall not exceed the total amount paid by the Customer for that booking.

Section 08

Indemnification

Customer agrees to indemnify, defend, and hold harmless Sideline Society, LLC, its owners, employees, and agents from and against any claims, damages, losses, liabilities, and expenses (including reasonable attorney's fees) arising out of or related to: (a) Customer's use of rental equipment; (b) any breach of these Terms and Conditions; or (c) any negligent or wrongful act or omission by Customer or any member of their party.

Section 09

Governing Law

These Terms and Conditions are governed by and construed in accordance with the laws of the Commonwealth of Virginia, without regard to its conflict of law provisions. Any disputes arising under or related to these terms shall be subject to the exclusive jurisdiction of the courts located in the Commonwealth of Virginia.

Section 10

Changes to These Terms

Sideline Society reserves the right to update or modify these Terms and Conditions at any time. Changes take effect upon posting to this page. The version in effect at the time of your booking governs your reservation. We encourage Customers to review these terms before each booking.

Damage must be reported to a Sideline Society representative on-site before leaving the event. Damage reported after the fact without prior on-site notification may result in the full waiver of Damage Protection coverage.
